Scheduler / Operations Coordinator

DIMA Group – Fife & Edinburgh 

£13.00 per hour + paid holiday entitlement 

Monday–Friday | 9:30am–2:30pm 

The Role 

25 hours per week + additional weekend/event hours when required 

DIMA Group is looking for a highly organised, proactive and dependable Scheduler / Operations Coordinator to join our growing operations team. 

This is a hands-on operational role. 

You will be responsible for making sure we have the right people, in the right place, at the right time – managing staff availability, preparing weekly schedules, filling last-minute gaps and helping coordinate staffing for major events across Fife, Edinburgh and wider Scotland. 

We need someone who takes ownership. 

If somebody cancels, you find the solution. 

If you spot a staffing gap developing, you deal with it before it becomes a problem. If a client needs something changed, you make sure the right people know and the schedule is updated. 

You will work closely with our Operations Manager, clients and event workforce and will also attend and support major events when required. 

Key Responsibilities 

● Manage and maintain weekly staff schedules. 

● Ensure all shifts are appropriately staffed and covered. 

● Monitor staff availability and identify potential shortages in advance.

● Contact staff regarding availability, shifts and operational requirements.

● Find replacement staff quickly when dealing with sickness, cancellations and no-shows. 

● Coordinate staffing requirements for large events. 

● Communicate schedule changes clearly and professionally. 

● Liaise directly with DIMA Group clients regarding staffing requirements and operational changes. 

● Build strong working relationships with our clients and workforce. 

● Maintain accurate staffing and scheduling records using C247 and Google Drive.

● Support the Operations Manager with day-to-day operations. 

● React quickly and professionally to last-minute changes. 

● Attend and support major events across Fife and Edinburgh when required.

● Undertake appropriate SIA-licensed duties at events when operationally required.

Good with people – you understand that strong relationships with both clients and staff are a major part of delivering a reliable service. 

Hard-working – you’re prepared to take responsibility and get the job done properly. Flexible – you understand that the events industry doesn’t always operate Monday to Friday. 

ESSENTIAL REQUIREMENTS 

You must have: 

● Availability Monday–Friday, 9:30am–2:30pm 

● Flexibility to work weekends when operationally required 

● Excellent organisational and time-management skills 

● Strong communication skills 

● Confidence using digital systems 

● Ability to work independently and use your own initiative 

● Ability to react quickly and professionally when plans change 

● Excellent punctuality and a strong work ethic 

Experience with C247 and Google Drive would be beneficial, although training can be provided. 

Please do not apply if you do not currently hold a valid SIA Door Supervisor licence. Hours & Pay

Core office hours: 

Monday–Friday 

9:30am–2:30pm 

25 hours per week 

Additional hours will be available/required around major events and busy operational periods. 

Weekend working is an important part of this position. Where additional weekend hours are worked, these will be managed through additional paid hours or an agreed day off during the working week, depending on operational requirements.
